Executive Duties Beaumont Amateur Soccer Association

 

Please note that access to a computer and email are a must for most of these positions, as communication is mainly done via email.

President


  • chairs the soccer Executive meetings and the AGM
  • prepares the agendas
  • is the representative for the BRSA meetings
  • facilitates retreats
  • signs cheques
  • monitors overall operation of Beaumont Minor Soccer Association
  • sets deadlines and checks that they are being adhered to
  • prepares report for AGM
  • organizes bylaw changes for AGM

 

Vice President

  • back up chairperson
  • develops annual budget with Treasurer
  • signs cheques
  • coordinates public relations activities with Media Representative
  • manages overall soccer calendar
  • coordinates special committees
  • prepares report for AGM
  • organizes election of officers for AGM

 

Treasurer

  • develops annual budget with vice president for the Executive
  • records income and expenses
  • maintains balanced account books and arranges a yearly audit
  • provides a float and receipt book for registration night
  • prepares cheques for payment as required
  • ensures bank statement is accurate
  • coordinates changes in signing authority
  • makes deposits
  • responsible to follow up on NSF cheques from registration
  • prepares financial report for AGM

 

Secretary

  • prepares minutes
  • prepares agendas as directed by the President
  • books meeting locations
  • contact members of Executive as necessary
  • places advertising
  • picks up mail

 

Registrar

  • develops and maintains procedures for registration
  • schedules dates for registration
  • gives necessary information to Secretary for booking location and advertising
  • decides on methods of late registrations and coordinates with Directors
  • responsible for ensuring forms and other items for registration are available
  • manages registration database input, updating and reporting
  • responsible for following up on incomplete registration information
  • processes and balances money for registration and gives to the Treasurer for deposit
  • institutes and coordinates necessary procedures for refunds
  • gives completed registration forms to Directors
  • prepares report for AGM

 

Past President


  • gives assistance and resource to the new Executive as needed
  • assure continuity in the running of the organization from year to year
  • other duties as assigned by the Executive and agreed to by the Past President

 

Media Representative

  • writes a weekly or biweekly article for local newspaper on soccer activities - indoor and outdoor, in order to do this the Media Representative must keep current on soccer issues
  • prepares report for AGM

 

Outdoor Soccer

 

Outdoor Director

  • coordinates field and game scheduling with Battle River Soccer Association
  • gives assistance with team assignments, practices and game scheduling
  • coordinates with mini Director regarding photographs
  • ensures program runs within the allotted budget
  • interfaces with Registrar on registration concerns and distributes completed registration forms to Directors
  • gives necessary information to Ref Coordinator for scheduling referees
  • recruits coaches and coordinates information from BRSA for rep teams
  • prepares player evaluations pre and post season (if necessary) with Age Level Directors
  • provides coaching clinic schedule for Age Level Directors and maintains records & provides to Registrar
  • prepares and chairs coaches orientations sessions
  • prepares report for AGM

 

Age Level Directors

  • receives registrations forms from Youth Director and maintains files
  • make team assignments
  • recruit coaches, co-coaches and team managers
  • organizes and distributes team lists and schedules
  • coordinates distribution and return of equipment to equipment manager
  • maintains records and information as required
  • coordinates player evaluations, record results and provide information to Youth Director
  • coordinates coaches lists for clinics and informs them of schedules

 

Directors for Mini and Micro

  • make team assignments
  • recruit coaches, co-coaches and team managers
  • organizes and distributes team lists and schedules
  • coordinates coaches lists for clinics and informs them of schedules
  • coordinates distribution and return of equipment to equipment manager
  • maintains records and information as required
  • organizes game schedules and coordinates with youth Director for field use
  • arranges and coordinates photographs with youth Director
  • ensures program operates within allowed budget
  • interfaces with Registrar on registration concerns
  • gives necessary information to Ref Coordinator for scheduling of the referees
  • prepares report for AGM

 

Equipment Manager

  • prepares budget projection and gives to the Vice President by the end of January
  • orders equipment and uniforms as required
  • coordinate with Assistant Directors distribution and return of equipment and any necessary uniforms
  • maintains and controls inventory of equipment and materials
  • prepares report for AGM

 

Field Booking Coordinator

  • schedules field marking and manages maintenance of field marking equipment
  • coordinates with Directors and town field scheduling
  • is liaison with town regarding field conditions
  • monitor Towns maintenance on a regular basis through season and address any concerns with the Town
  • prepares report for AGM

 

Technical Director

  • organizes coaches clinics and soccer schools with ASA
  • coordinates distribution of necessary information for above items with Assistant Directors at registration nights
  • coordinates with Secretary all information to assist with advertising
  • give projected budget based on schedules received by mid April
  • updates coaches guide book as necessary
  • prepares report for AGM

 

Tournament Coordinator

  • recruit tournament committee
  • oversee all aspects of tournament organization (game schedules, volunteer schedules, food preparation, set up and take down crew)
  • order trophies or medals and book appropriate facilities
  • inform teams of available tournaments if there is not enough teams to run a year end house tournament
  • inform Ref Coordinator of game times so refs can be booked
  • prepares report for AGM

 

Referee Coordinator

  • organizes referee clinics with ASA
  • coordinates with Secretary all information to assist with advertising
  • recruits referees and does ongoing supervision of refs
  • give projected budget based on schedules received by mid April
  • coordinates payment of referees
  • prepares report for AGM

 

Indoor Soccer

 

Indoor Director

  • prepares budget with Vice President and Treasurer for Indoor Season by July
  • coordinate with Registrar for fall registration
  • attend meetings of district that we are playing indoor soccer in and report to the Executive
  • distribute schedules
  • prepares report for AGM

 

Indoor Assistant Directors

  • make team assignments
  • recruit coaches, Assistant coaches and team managers
  • organizes and distributes team lists and schedules
  • coordinate with equipment manager for necessary equipment and uniforms and for distribution and return of such items
  • maintains records and information as required

 

Indoor Equipment Manager

  • prepares budget projection and gives to the Vice President by the end of July
  • orders equipment and uniforms as required
  • coordinate with Assistant Director distribution and return of equipment and any necessary uniforms
  • maintains and controls inventory of equipment and materials
  • prepares report for AGM

 

Indoor Fund-raising Chair

  • form a committee and coordinate any fund-raising for indoor soccer
  • prepares report for AGM
